Medication Management on Epic

New Medications or Refills:

If a patient calls requesting a refill or you are prescribing a medication previously discussed with the patient/attending and you are not in clinic, you may e-prescribe the medication as follows:

  1. Please make sure you review the patient’s medications beforehand. Sometimes patients already have refills on medications and you do not need to place another order. You can then clarify with the patient or call the pharmacy (212-241-7720 or x47720) to confirm the status of the medication.

  2. Choose Epic → Patient Care → Refill Medication

  3. Epic will list patient’s current medications, next to which there is a Reorder button. Click on Reorder for the medication you wish to refill. Alternatively, you can type in the name of the medication in the Order Entry text box.

  4. Click on that order to make sure the information is correct: Under “Class” select E-Prescribing. This ensures that the refill goes directly to the Icahn School of Medicine Pharmacy. Check that the Pharmacy (top tab) has “Icahn School of Medicine Pharmacy” listed. This is important, because if it is NOT listed, our pharmacy will NOT see the e-script.

  5. You may see an error message below the medication being ordered saying "Medication can't be e-prescribed, no authorizing provider." If you see this, click the checkbox to the left medication name on the main refill encounter navigation screen. It will prompt you to list an "Authorizing Provider." You can list Yasmin Meah or David Skovran, and click accept. This should make the error message "Medication can't be e-prescribed, no authorizing provider" disappear!

  6. Please Route this refill to Dr. Meah, David Skovran, and the head TS (and Dr. David Thomas if covering for both). Include a brief message about why you are placing this refill order. NOTE: You will not be able to close the refill encounter, but routing it is sufficient and it will be sent to be signed. You can just “X” out of the refill encounter. Once the order has been signed, you will get an "Rx response" in your basket notifying you that the med has been refilled.

Historical Medications:

Medications that patients receive by PDAP should still be listed in Epic but are classified as a 'historical medication' so they aren't accidentally prescribed. To make a medication historical:

  1. Go to your patient's last EHHOP visit. If the encounter has been signed by someone already, just click "Create Addendum." You can also do this through a refill encounter (Epic → Patient Care → Refill Medication).

  2. Navigate to the "Plan" on the left tab. Find the "Meds & Orders" section of the Plan. Find the medication you are making into a historical medication and press "Change." If this patient has not been prescribed this medication previously, click "+ ADD ORDER" on the bottom left corner of the screen and find the medication. You may need to search in "Database" to find it here. Do NOT click in "+ Patient Reported"!!

  3. For Sig, put the instructions you told the patient (e.g. "22U in the morning and 20U in the evening") and then "Patient receives through PDAP. DO NOT FILL THIS MED. Contact EHHOP Pharmacy Team with any questions"

  4. Keep scrolling down. For "Class" of medication, click "Historical Medication." (Dr. Meah and Dave usually fill out this part, but normally medications are under class "E-Prescribing."). Pend this medication.

  5. Make sure you discontinue the original E-prescribed medication under the Visit Navigator "Medications" tab - can select something like "Alternate therapy" as reason for discontinuation.

  6. Exit out of the encounter, sign the encounter if prompted.

  7. Send a staff message to Dave, Dr. Meah, and the head TS to let them know where you've pended this historical medication to be signed.

Discontinuing a Medication

If you need to discontinue a medication previously discussed with the patient/attending and you are not in clinic, you may do so as follows:

  1. Choose Epic → Patient Care → Refill Medication

  2. Epic will list patient’s current medications, next to which there is a Discontinue button. Click on Discontinue for the medication you wish to discontinue.

Important Changes to TRICARE Pharmacy Copayments

Pharmacy copayments will change beginning on January 1, 2022 for all beneficiaries except for active duty service members, surviving family members of active duty service members, and medically retired service members and their families. Military pharmacies remain the lowest cost pharmacy options for TRICARE beneficiaries, who have the option to get generic and brand-name drugs for $0 copayment. Friday is busiest, Wednesday is least busy (statistically).
Do holidays increase my wait time?
Yes, typically the day before and after a holiday are busier than usual.

  2. Text “Get in line” to (833)-457-2013 and follow the prompts. Requests submitted before 1200 will be ready after 12 the next duty day. Requests after 1200 will be ready in 2 duty days.
  3. Call us at (762) 408-2172. If all of our agents are busy, please try again later as we do receive a high volume of calls.
  4. In person at the Pharmacy Service Desk - we are always happy to assist you.

Does the pharmacy AUTOMATICALLY fill my prescription?
No, the pharmacy can only fill prescriptions by REQUEST only.
Can I decrease my wait to under 30 minutes?
You sure can! Contact us before 12 pm and we will try to have your prescription completed the following duty day after 12 pm based on current workload capacity. Leave us your contact information and we will set you up to receive a message upon completion. Grab a rapid return/scheduled pharmacy pickup ticket from the kiosk when you return to pick up.

How do I request my refills and can I see my prescription records online?
Yes, log in/create an account for MHS GENESIS Patient Portal and always have your prescription information at your fingertips.  Request your refills by calling 706-544-1572.  The PX refill pharmacy remains the location to pick up your prescription refills.

   Ways to Skip the Pharmacy Line

Q-Anywhere

The Q-Anywhere service is a text messaging pharmacy contact method available Monday through Friday 8:00 am - 4:00 pm. Once you complete the request through text you may receive a text message when your prescriptions are ready.  You can select pick up at the Main Outpatient Pharmacy or Script Center. Activate your virtual number at any kiosk or Select “Rapid Return”.  Requests submitted by 12:00 pm will be ready after 12:00 pm the next duty day. Requests submitted after 12:00 pm will be ready within 2 duty days.

ScriptCenter

Are you looking for a simpler way to pick up your new TRICARE prescriptions after hours? Martin Army Community Hospital’s ScriptCenter provides a safe, secure, and controlled way to pick up your prescriptions, even on weekends!

The automated kiosk located next to the first floor elevator is available 24/7. Enrollment is easy and convenient: just scan your military ID card, enter your date of birth and create a password and four-digit pin. Once registered, you can pick up your new prescriptions at your convenience. You can also link family member accounts to pick up prescriptions for them.

You must specifically request to have your new prescriptions filled at the ScriptCenter either by activating through QAnywhere, message on MHS GENESIS patient portal, calling (762) 408-2172, or requesting it at the pharmacy service desk.

*Please note, refrigerated or reconstituted medications cannot be picked up at the automated kiosk.*

Rapid Return

Do you want to skip the wait at the pharmacy? You can drop off your prescriptions and return the scheduled duty  day to have them filled and waiting for pick up. Due to high volumes, we currently do not initiate a prescription to be filled until requested by a beneficiary. You can even call ahead (762-408-2172) or message us via MHS Genesis patient portal function ((MHS) GENESIS Online Patient Portal to: Ft. Benning Pharmacy Clinic ) and we can prepare your medications in advance. When you return to the Main Pharmacy, select a Rapid Return / Scheduled Pharmacy Pick Up ticket at the white kiosk and be on your way shortly.

TRICARE Formulary Search Tool

Use the TRICARE Formulary Search Tool to look-up your drug. A search can tell you:

  • Formulary status (generic drug, brand-name drug, non-formulary drug, non-covered drug)
  • Where the prescription can be filled
  • Copayments and limitations, such as prior authorization
  • Coverage review requirements and forms
  • Alternative medications, including costs

To start your search, you’ll need to put in the brand name or generic name of the drug and then select the strength prescribed, as well as your gender and age.

Refill requests are processed in three (3) duty days and returned to stock after seven (7) duty days. Prescription refills are requested in two ways.

Controlled Substance Prescription Policy

BMACH Pharmacies may only dispense a maximum of a 30 day supply of most controlled substances. The only authorized exception is for controlled substances prescribed for Attention Deficit Hyperactivity Disorders (ADHD), which may be filled for up to a 90-day supply. Schedule III thru V Medications may be written for a 30 day supply, with up to 5 refills. Controlled Substance prescriptions are only valid for six (6) months after they are written.

Pharmacy ID Card Policy 

It is necessary to provide the military ID card of the patient (14 years old or older), or a current copy of the ID card, when obtaining a prescription at any military pharmacy or TRICARE Retail Network Pharmacy to help establish eligibility and authorization. It is permissible for Military ID cards to be photocopied (front & back) to assist in eligibility verification and for the purpose of rendering care. Smartphone copies will be accepted if front and back copies are legible.

If you need a prescription filled right away and the pharmacy is closed or you are unable to use the Ft Benning BMACH Pharmacy, visit one of the civilian retail pharmacies that are approved by TRICARE.

Helpful Medication Tips and Tricks

Tips:

  1. Know the name(s) and dosage(s) of your medication as well as why you are taking them
  2. Be familiar with your medications: look for changes in color, size, shape, markings and smell. If you notice something unusual contact your pharmacist
  3. Take medications only as prescribed by your physician or other healthcare provider
  4. Do not mix medications unless instructed by your physician. Inform your physician of all medications you take, including over-the-counter medications, herbal medications and dietary supplements
  5. All medications can produce actions or effects other than those desired. Contact your physician and pharmacist if symptoms occur
  6. If you are pregnant or breast-feeding, check with your physician and pharmacist before taking any medication
  7. Do not mix different medications in the same container. Keep medications in childproof containers and out of reach of children
  8. Always take your medication with you to your healthcare provider appointments
  9. When traveling, carry your medication with you, not in your luggage. Be sure to take enough medication to last through your trip

Medication and Sharps Disposal
